Archiving Clients

The content for tArchiving a client frees up space in your active client quota without deleting their workspace. Use it when a client engagement is paused or complete, and you want to stop that client from counting toward billing.

Why archive a client?

ELLA organizations include a workspace quota based on active clients. An archived client:

  • No longer counts toward your monthly active client quota

  • Stays available in a read-only workspace so you can still review past work

  • Can be unarchived later if you need to pick the engagement back up

Archiving is different from deleting. Delete permanently removes the client. Archive keeps the data and turns the workspace into read-only mode.

You’ll see an archived banner on the client workspace so it’s clear the client is in read-only mode.

How to archive a client

  1. Open the client workspace.

  2. Go to Client Settings.

  3. In the archive section, select Archive Client.

  4. Confirm the action.

The client moves out of your active list and no longer counts toward your quota.

How to unarchive a client

  1. Open the archived client workspace (or find them via archived clients, if shown).

  2. Select Unarchive from the archived banner, or go to Client Settings and select Unarchive Client.

Unarchiving restores editing and collaboration. That client counts toward your monthly client billing quota again and may result in additional charges if you’re at or over your included client limit.

Billing impact

  • Archiving removes the client from your active client count so you can open capacity for new clients.

  • Unarchiving adds the client back to your active count.

  • Your plan includes a set number of active clients based on your advisors. Clients above that included amount may incur overage charges.

If you’re unsure whether unarchiving will create an overage, check your current active client usage in billing/settings before you restore the client.

When to archive vs delete

  • Archive when the engagement is inactive but you may need the history later, or you want to free a billing slot.

  • Delete only when you’re sure the client workspace should be removed permanently.

FAQs

Does archiving delete my client’s data?

No. The workspace stays available in read-only mode. Fact Finding, files, and deliverables remain accessible to view.

Will collaborators still be able to edit an archived client?

No. Collaborative functionality is disabled while the client is archived.

Can I reverse an archive?

Yes. Unarchive the client anytime. Remember that unarchiving returns them to your active billing quota.

I archived a client mid-month. When does billing update?

Archiving removes the client from your next billing cycle. If you unarchive them, they count against your current billing cycle’s quota immediately. Basically, if you use a client workspace during a billing cycle, it will count towards the quota.
